OurCal Privacy Policy

Last updated: 31/08/2026

1. Introduction

OurCal ("OurCal," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. It applies to everyone who uses OurCal, whether as a Host or a User (together, "you").

This Policy is intended to comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using OurCal, you agree to the collection and use of information as described in this Policy.

2. Geographic Availability

OurCal is currently available to Users and Hosts located in select countries only, and is not currently available to residents of the European Union, the United Kingdom, or the European Economic Area (Iceland, Liechtenstein, and Norway). This Policy is written with that scope in mind and does not currently address GDPR or UK GDPR obligations. If OurCal becomes available in those regions in future, this Policy will be updated accordingly before that occurs.

3. Information We Collect

3.1 Information you provide directly

Account details: name, email address, password (stored securely, hashed — never in plain text). Country (collected at sign-up, required). Profile information: display name, avatar/photo, postal/zip code (optional). Host information: organisation name, description, logo, category, social links, custom URL slug, timezone. Event content: titles, dates, times (with timezone), locations, descriptions, and any links you add to events. Payment information (Premium subscribers only): handled entirely by our payment processor, Stripe — OurCal does not collect or store your card details directly. Communications: any messages you send us (e.g. support requests). Consent records: what you agreed to and when, including Terms/Privacy acceptance and cookie preferences.

3.2 Information collected automatically

Usage data: pages viewed, features used, actions taken (e.g. events created, hosts followed). Device and log data: IP address, browser type, device type, and language/locale settings, used to infer approximate location and set default language, timezone, and currency display. Cookies and similar technologies (see Section 6).

3.3 Information we ask you not to give us

We ask Hosts specifically not to include sensitive personal information (health, financial, government ID, racial/ethnic origin, religious belief, sexual orientation, or criminal history data) about themselves or others in any event or public-facing content. See our Terms and Conditions, Section 8.

4. How We Use Your Information

We use the information we collect to:

Create and manage your account, and apply the correct country-based defaults (language, timezone, currency display). Operate core features: publishing events, following Hosts, displaying your feed, sending calendar exports, generating embeds and posters. Process Premium subscription payments and manage billing, including displaying prices in your local currency where available. Send you service-related communications (e.g. event status changes for Hosts you follow, account notices). Send you optional notifications and marketing communications, only where you've separately opted in. Maintain the security and integrity of the Service, including preventing fraud and abuse. Understand how the Service is used, to improve it. Comply with our legal obligations.

We do not sell your personal information to third parties, and we do not use your data to serve third-party advertising.

5. Third Parties We Share Information With

We share information with the following categories of service providers, solely to operate the Service:

Supabase — our database, authentication, and backend infrastructure provider. Stripe — our payment processor for Premium subscriptions; Stripe handles and stores your payment details directly under its own privacy policy and security standards. Hosting and infrastructure providers — used to run and deliver the Service. Analytics providers (if used, and only after cookie consent) — to help us understand usage patterns, in aggregate/anonymised form where possible.

We may also disclose information where required by law, to protect our rights or the safety of our Users, or in connection with a business transfer, in which case we'll notify affected Users where practicable.

We do not share your personal information with other Hosts or Users beyond what is inherently visible through your use of public/private features described in Section 7.

6. Cookies and Consent

6.1 Cookie categories

OurCal uses cookies and similar technologies, grouped into: Essential — required for login, session management, and core functionality; cannot be disabled. Analytics — help us understand usage patterns; only loaded after you consent. Preference — remember settings like language and theme. On your first visit, you'll be shown a cookie banner allowing you to Accept, Reject non-essential cookies, or Customise your choice by category. Your choice is stored and respected, and you can change it at any time via a cookie settings link in the footer.

6.2 Consent is specific and separate

Agreeing to our Terms and Conditions and this Privacy Policy at sign-up is required to create an account. Any other consent — such as receiving marketing emails, non-essential cookies, or optional notifications — is requested separately and is never bundled into that mandatory acceptance. You can withdraw any optional consent at any time in account settings.

7. Public Visibility of Content

Public Host profiles, calendars, and events are visible to anyone, including people who are not registered Users and do not follow the Host — this may include indexing by search engines. Private calendars and events are visible only to those who have been granted access via an invite link issued by the Host. Please review our Terms and Conditions, Section 5, for more detail on what "public" and "private" mean on OurCal before publishing content.

Your name and avatar, if you're a User, are visible to a Host if you follow them (e.g. in their follower count/list, where applicable). Your postal/zip code and country, if provided, are not shown publicly and are used only as described in Section 4, unless we tell you otherwise and obtain your consent for a specific feature.

8. Your Rights and Choices

You can: Access and update your personal information at any time via your Profile settings. Unfollow any Host at any time. Adjust your notification and marketing preferences. Download a copy of your data via a self-serve export tool in account settings. Request deletion of your account and personal data, which permanently removes or anonymises your identifying information, subject to limited legal retention obligations (e.g. financial records for Premium subscribers), which we'll disclose to you at the time of deletion.

To make any request regarding your data that you can't complete yourself in the app, contact us at [hello@ourcal.io]. We will respond within a reasonable time, generally within 30 days.

9. Data Retention

We retain your personal information for as long as your account is active, or as needed to provide the Service. If you delete your account, we will delete or anonymise your personal information within a reasonable period, except where we're required to retain certain information for legal, tax, or accounting purposes (e.g. Stripe payment records for Premium subscribers).

Cancelled, postponed, or past event records may be retained in a Host's calendar history (visible via "Show past") unless the Host deletes them directly.

10. Children's Privacy

OurCal is not intended for children under 16. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us so we can remove it.

11. Data Breach Notification

In the event of a data breach affecting your personal information, we will notify affected Users and, where required by law, the Office of the Australian Information Commissioner (OAIC), within the timeframe required by applicable law.

12. Changes to This Policy

We may update this Privacy Policy from time to time, including if OurCal expands to additional countries in future. Material changes will be notified via the Service or by email where practicable. Continued use of OurCal after changes take effect constitutes acceptance of the updated Policy.

13. Contact Us

If you have questions about this Privacy Policy or how we handle your information, contact us at: [hello@ourcal.io].

If you're not satisfied with our response, you have the right to lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
